01Who We Are
This Privacy Policy applies to newportbeachttc.com and to all digital services operated by Tennis and Pickleball Club of Newport Beach and its affiliated entities (collectively, the "Club," "we," "us," or "our"). Throughout this policy, "you" refers to any visitor, member, prospective member, guest, or contact who interacts with us.
02Information We Collect
We collect information in three ways:
A. Information you give us directly — when you fill out a form on our Site (membership application, event inquiry, liability waiver, sign-off, incident report, contact request, etc.), you may provide:
- Identifiers — name, email address, mobile phone number, mailing address
- Membership details — tier preferences, sport preferences, date of birth, household members
- Emergency contact information
- Health-related representations relevant to the liability waiver (e.g., medical fitness to participate)
- Free-form input — descriptions of incidents, complaints, event inquiries, or other open-text fields
- Document uploads — for example, sexual harassment training certificates uploaded by team members
B. Information collected automatically — when you visit the Site, we and our service providers may collect:
- Device and browser data (browser type, operating system, screen size)
- Usage data (pages visited, links clicked, referring URL, time spent)
- IP address and approximate location
- Cookies and similar technologies (see Section 06)
C. Information from third parties — we may receive information from membership management software (Club Automation), payment processors, our customer relationship management platform (GoHighLevel), and other vendors as needed to operate the Club.

04How We Share Your Information
We do not sell your personal information. We share information only in these limited circumstances:
- Service providers who help us operate the Club — including hosting (Netlify), CRM (GoHighLevel), membership software (Club Automation), email tools, payment processors, and analytics vendors. They may only use your information to perform services for us.
- Affiliated entities — TTC Newport LLC, TTC Newporter LLC, TTC Koto LLC, TTC Palms LLC, Champion Management Group Inc., and World Team Pickleball LLC, where shared operations make this appropriate.
- Professional advisors — our attorneys, accountants, insurers, and similar advisors when needed.
- Legal requirements — if required by law, subpoena, court order, or to protect the rights, property, or safety of the Club, our members, or the public.
- Business transactions — in connection with a merger, acquisition, financing, sale of assets, or similar event affecting the Club.
05Forms & Submissions
When you submit a form on the Site, your submission is transmitted to and stored by our hosting provider (Netlify) and may be forwarded by email or webhook to the relevant Club department (e.g., front desk, membership, upper management). For incident reports and liability waivers, the data is retained as part of the Club's permanent records. For routine inquiries, we retain submissions for as long as reasonably necessary to respond and document the interaction.
06Cookies & Tracking
The Site may use cookies and similar technologies to keep the Site working properly, remember your preferences, and understand how the Site is used. You can control cookies through your browser settings. Disabling cookies may affect Site functionality.
We do not currently use the Site to deliver targeted advertising. If that ever changes, we will update this Policy and provide opt-out controls where required by law.
07Your California Privacy Rights
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you specific rights regarding your personal information:
- Right to know what personal information we have collected about you, the sources, the purposes, and the categories of recipients
- Right to delete personal information we have collected, subject to certain exceptions
- Right to correct inaccurate personal information
- Right to limit use of sensitive personal information
- Right to opt out of the sale or sharing of personal information (we do not sell or share your information for cross-context behavioral advertising)
- Right to non-discrimination — we will not discriminate against you for exercising any of these rights
To exercise these rights, contact us using the details in Section 12. We will verify your identity before responding and will respond within the timeframes required by law.
08Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure — if you have reason to believe an interaction with us is no longer secure, please notify us immediately.
09Children's Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information without parental consent, please contact us and we will delete the information. For minors participating in Club programs, the participant's parent or legal guardian provides consent through the liability waiver.
10Data Retention
We retain personal information for as long as needed to fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by category — for example, signed waivers and incident reports are retained for the duration required by law and Club insurance requirements; routine inquiries are retained for a shorter period.
11Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent version. If we make material changes, we will provide reasonable notice — for example, by posting a notice on the Site or, where appropriate, by email.
